AngelTrack’s billing system is perfectly integrated with its dispatch system, its PCR, its QA review process, and its electronic document system. Your EMS and fire receivables flow smoothly through these systems, forward or back as necessary, until paid in full.

Side-by-Side EMS and Fire Receivables

Ambulance and fire truck

AngelTrack’s automated billing workflow handles EMS and fire receivables side-by-side. Each of your customers can have their own price schedule of various EMS and fire services. EMS and fire calls appear together on a single invoice.

Billers can manage it all using a single login and a single user-interface. Supervisors and owners can pull unified reports that show both EMS and fire revenues across your entire EMS operation and your entire fire department.

End-to-End Automated Workflow

After call completion, AngelTrack’s automated workflow follows the dispatch every step of the way until all monies are collected.

Postprocess workflow

Every call has its own bill-to and payor fields, partially automated, so that even complex payment arrangements can be selected. Bill it to insurance, to your contracted facilities, to your affiliates, and to patients… all automated in AngelTrack. Learn more…

Achieve 24 Hours to Billing Office

Providers on AngelTrack can average 24 hours from BLS trip completion to reaching the billing office, or better, thanks to the graceful workflow between PCR, crews, and QA.

Your crews can be exchanging charts with QA while driving to their next call!

AngelTrack’s integrated timeclock helps too, enforcing report completion before crews are allowed to clock out.

Tight Integration with Dispatch

Billing options

Billing information is integrated with call-taking and the dispatch system, allowing dispatchers to capture information that will be needed during billing and invoicing. AngelTrack’s call-taking UI is loaded with smarts, automatically setting up the billing based on dispatch settings and on your facility contracts.

This automates AngelTrack’s workflow. The stream of closed dispatches passes through (or skips over) QA and then divides itself into convenient billing queues. Each queue can be serviced by a different person, or outsourced, as you see fit.

Solves Your #1 Pain Point

The number one pain point in the billing office is this question: “What happened on this call? Do we bill it to the facility, or what?”

Old-fashioned software — with separate dispatch, PCR, and billing modules — falls short. The billing module might be able to import data from the PCR, but too much information is lost during import, and there is no graceful way to send a call back to QA or to crews for clarification.

AngelTrack is a single unified application, sitting atop a single database. All data from dispatch, PCR, QA, and billing is in one place. Trips can gracefully move back and forth between crews, QA, and billers.

Easy Coding of EMS Claims

AngelTrack’s insurance claim coding system is designed for EMS — streamlined and simplified, compared to general medical coding applications. Most of the information in your claim is automatically filled-in, using the dispatch, PCR, and QA data collected.

AngelTrack knows all the service codes and modifiers you might use, point-and-click to avoid mistakes. It knows the entire ICD-10 code list, and provides autocomplete helpers to guide billers in selecting the correct codes. Learn more…

Multiple Billers Working in Harmony

Billing queues

AngelTrack divides all billing tasks into queues. The queue fills with dispatches that are awaiting that task.

Queues make it easy for multiple billers and contractors to work together without conflicts, and without anything slipping through the cracks.

In smaller operations, one person can do them all. In larger operations, the more experienced billers can tackle the challenging queues (like insurance appeals), while novice billers are assigned the simpler tasks. Learn more…

Everything is Outsourceable

AngelTrack can work with any billing subcontractor. The subcontractor can remain detached from your organization, or they can integrate, remotely accessing your AngelTrack cloud server and perform billing on your behalf.

AngelTrack provides you many reporting tools to monitor their work.

There is also a billing API that an outside biller can use to automatically pull trip data from AngelTrack just as soon as the trips pass QA review.

Lazy Price Quoting

Pricing chart

AngelTrack uses lazy price quoting, where the official price of a dispatch is not calculated until graduation from QA, during invoicing or insurance filing.

Of course dispatchers can quote prices up front, with help from AngelTrack’s maps and route calculator. Cash-pay is supported too. But most of the time, price quoting best occurs later, after the odometer readings are in, and after QA has checked the mileage and services actually provided.

AngelTrack’s clever automatic pricer supports all popular pricing combinations of EMS and fire responses. It can even auto-apply the relevant Medicare prices. Learn more…

Automated Invoicing System

The automated invoicing system tracks all receivables in the workflow, invoicing and re-invoicing them as needed until balances are zero.

When sending out your invoices, choose from many different print and export formats, some simplified and others highly detailed, as your customers require. Learn more…

Automatic Clearinghouse Uploader / Downloader

Insurance Transmission Queue

AngelTrack’s automatic SFTP uploader/downloader works with any clearinghouse that offers standard SFTP data exchange…. including Office Ally, Waystar, Availity, Trizetto, and E-Tactics.

It sends up your claim batches, and pulls down the 999, 277CA, and 835 replies. It even posts the EDI replies if you so choose, automatically moving the affected receivables along the workflow. Learn more…

Automatic Monthly and Annual Subscriptions

If you offer flat-rate pricing, or monthly or annual subscriptions, AngelTrack will automate the charges, so that they appear automatically on the customer’s next invoice.

Each of your institutional customers can have their own unique flat-rate pricing. You can also create an unlimited number of different subscription plans for patients / individuals / property owners. Learn more…

One-Click Access to Underlying Reports

Billers can freely view printouts of the underlying reports — both EMS and NFIRS — including electronic documents and signatures, plus the patient’s prior trips and claims.

They can also open the PCR and see exactly what the crew sees, if they are considering sending a report back for corrections.

This is AngelTrack’s killer advantage: Dispatch, PCR, QA, and billing in a single database.

Fire and EMS Side by Side

Accept Credit Cards and ACH in the Self-Pay Portal

AngelTrack integrates with Stripe to offer your customers a self-pay portal, where they can pay their invoice online. Your customers can pay you with credit card or ACH, settling their invoices without intervention by your billers. The invoicing system then re-routes the affected receivables for reinvoicing where necessary.

This integration is easy to configure, and then it runs hands-free. You retain control of your Stripe account; funds received from your customers are never in the custody of AngelTrack LLC. Learn more…

Electronic PCS and McPAN Forms

Collect one-shot and multi-day PCS forms using any mobile device that has GPS and touchscreen. You can open the form while on-scene, and then hand your device to the LVN, RN, or physician to quickly fill out and sign. Learn more…

The completed electronic PCS then enters AngelTrack’s paperless document system, automatically appearing in all relevant run reports.

There is also an electronic form for the PCS-like Medicaid PAN form, required in some states. Learn more…

Automatic Service Charges

If you charge for on-scene labs performed, for medications administered, and for oxygen given, AngelTrack automatically levies the appropriate service charges. The service charges appear as line items in any subsequent invoice.

During the QA review process, your QA reviewer can easily add additional service charges for other items and services, which are then automated during the billing process.

Automatic Paperless Organization of PCS and Prior Auths

Paramedic with tablet

AngelTrack knows which of your trips need a PCS, PAN, or Medicaid-PAN. Needed documents appear in a queue, so your dispatchers and billers can collect them ahead of time, or notate any refusals.

On the date of service, AngelTrack will prompt the crew to collect any missing PCS or MC-PAN form.

All these documents are organized and tracked by patient, automatically appearing in any relevant trips. Learn more…

Keep the Same Clearinghouse, or Switch

AngelTrack is not married to any clearinghouse, so you can use whichever one you like.

We presently have customers on Office Ally, Trizetto, Waystar, and Availity with no troubles. As long as your clearinghouse offers a standard SFTP server and standard EDI exchanges, AngelTrack will work perfectly.

We like Office Ally and we guarantee compatibility with them out-of-the-box, and they are quite affordable. If you wish to switch your clearinghouse to Office Ally, we will walk you through the migration and stay with you until it’s all running smoothly.

ET3 Integration

CMS logo

AngelTrack participates in the Emergency Triage, Treat, and Transport [ET3] program run by CMS. If your agency joins the program too, then using AngelTrack you will be able to bill Medicare for treatment-in-place and telehealth services provided via your ambulances, as well as for transports to alternate destinations not normally covered by Part B.

The ET3 program’s data upload requirement will automatically be fulfilled by AngelTrack. You can simply run your calls and file your claims as normal. Learn more…

Bill for Delegated Trips

Accept trips delegated to you from other providers, and then invoice them for the service. Dispatchers need only set a single billing field in this case, and AngelTrack does the rest.

Delegate your own trips to other providers who act as subcontractors, while performing the billing on their behalf. The dispatch system can even notate the progress of their vehicles, if they report to your dispatch office.

Everything is Tracked

Everything anybody does in AngelTrack is tracked and timestamped. Every record in AngelTrack — be it dispatches, patients, vehicles, stations, employees, timeclock punches, QA objections, or anything else — remembers who created it, when it was created, who last modified it, and when it was last modified.

Dispatch records and invoice records are tracked in even finer detail. Each record is fully journalled, showing a detailed log of every change, along with who changed it and when they changed it. If there is a mistake, you will always know who needs retraining.

Data Mining with Report Builder

AngelTrack’s Report Builder can pull hundreds of data columns from the PCR, as well as from the dispatch and billing systems, to mine for new revenue opportunities.

Create custom metrics, reports, and charts, quickly and easily.

Automatic sliding date windows make it simple to report on the past 7 or 30 or 90 days of activity.

One-Click Access to NSure

The billing and dispatch areas of AngelTrack offer one-click access to NSure / PayorLogic, which provides live queries for eligibility, insurance discovery, and demographic verification. (An NSure account is required for this feature.)
